How to create an event and import Vakaros results in RegattaHub

Stand up a fleet racing event in minutes — including a free mode for events where you're not collecting entry fees through the platform — then bulk-import your entry list from a CSV and pull race results straight from a Vakaros file, with finishes and penalty codes carried over automatically.

Getting a regatta scored shouldn't mean wrestling with software. In RegattaHub you can create an event in a handful of fields, bring your competitors in from a spreadsheet you already have, and load finish results straight from a Vakaros file — including the finishes and penalties Vakaros already recorded on the water. This guide walks through the whole path, from an empty account to published standings.

Create the event

From app.regatta-hub.com, sign in and choose Create event → Fleet racing event. You'll pick between paid and free mode. The only difference is payments: in free mode you can't collect entry fees through RegattaHub, which is exactly right if you're collecting fees off the platform or running a genuinely free regatta.

From there it's just details. The form has a long list of options, but only a little is actually required — and the system tells you what you still need before it will let you continue. Add a class, fill in the required fields, and create the regatta.

Add your entries from a CSV

Once the event exists, you have two ways to bring competitors in. You can publish the event, which opens a registration page for competitors (covered in a separate guide), or you can import an entry list you already have. To do the latter, go to Entries → Bulk add.

  • Download the CSV template if you need the format, or upload a file you already have.
  • A basic file is enough — name, boat name, sail number, and fleet.
  • After you upload, entries are imported automatically and assigned to the right class.

You can add more detail to each entry afterward. If you want richer competitor information, it's worth having people register through RegattaHub directly — but for a quick setup, a CSV gets you on the water faster.

Import results from Vakaros

With entries in place, head to the Races tab and choose Add via Vakaros. Select the fleet and class, then upload your Vakaros file. The file can contain any number of races, and you can import in whatever rhythm suits your event — three races after day one and three more after day two, or all six at once. Either way works.

On upload you may see a series of warnings, and that's by design. Practice races have no finishes, so RegattaHub flags them; just uncheck any races you don't want to bring in. RegattaHub also reconciles your entry list against the file: if a boat that was entered is missing from the Vakaros file, or the file includes a boat that wasn't entered, it tells you and lets you choose what to do next. When everything looks right, import.

Review and adjust scores

To check results after importing, open the class's Races, then Results, and click Score. This is where you can see exact finish times and apply penalty codes. Anything marked DNF or without a finish in the Vakaros file is already scored accordingly, so you only touch what needs changing — DNF, DSQ, OCS and the rest are right there. For a one-design fleet, elapsed and corrected times are the same. Make any changes, hit Update published results, and you're set.

Back on the Races tab you'll find the overall standings — total and net — along with each individual race. That's the same view your competitors will see once you publish the event.

Frequently asked questions

What's the difference between free mode and paid mode in RegattaHub?

Free mode lets you run the full event, but you cannot collect entry fees through RegattaHub. You can still collect payments off the platform, or run a genuinely free regatta. Paid mode lets you accept entry fees directly through RegattaHub.

Can I import a Vakaros file that only contains some of the races?

Yes. You can upload any number of races at a time. Enter three races after the first day and three more after the second, or upload all of them at once. RegattaHub handles both the same way.

What happens if boats are missing from the Vakaros file, or there are extra ones?

RegattaHub flags it. If entered boats are missing from the file, or the file contains boats that were not entered, it tells you and lets you choose what to do next before importing.

Why do I get warnings when I import practice races from Vakaros?

That is by design. Practice races have no finishes, so RegattaHub warns you. Just uncheck those races before importing to leave them out.

How do I add penalty codes like DNF, DSQ or OCS after importing?

Open the class's Races, go to Results, and click Score. Boats marked DNF or without a finish in the Vakaros file are already set. You can apply DNF, DSQ, OCS and other codes there, then hit Update published results.
